From your brief to clean, usable prospect data.
Tell us who you want to reach and what matters to the project. We turn that brief into a research framework, qualify the right companies and people, verify the contact data and deliver a dataset your team can actually work with.
01Brief
Who you need to reach, and what matters.
02Research
Companies found against the criteria.
03Qualify
Fit confirmed before contact volume.
04Verify
Contact data checked and cleaned.
05Deliver
Reviewed against the original brief.
Five stages, run the same way on every project
Each stage has to finish before the next one is worth starting. Qualification that happens after contact research is just filtering, and filtering is what produces a list nobody trusts.
Define the Target
The goal is to define what belongs in the dataset before research begins.
We start with the audience you actually want to reach.
That can include industry, geography, company type, business model, department, seniority, job function, company attributes and the fields you need in the final delivery.
We turn the brief into clear research and qualification criteria before collecting contacts.
Research and Qualify
Qualification happens before contact volume.
Our research team identifies companies that match the agreed criteria and checks whether they genuinely belong in the target market.
Broad database categories are not treated as proof of fit.
Companies that do not meet the requirements are excluded and replaced.
Find the Right People
A senior title is not always the right decision maker.
Once an account qualifies, we research the people whose current responsibilities match the reason for outreach.
We do not rely on job title alone.
Department, seniority, role context and actual responsibility are considered where relevant to the project.
Verify and Clean
Clean data means more than having an email address.
Available business contact information is enriched and checked before delivery.
Duplicates are removed, company and contact fields are standardised and records are reviewed for consistency.
Standard valid emails go through the verification workflow before final QA.
Catch-all contacts are handled separately through an additional review process.
Not Found contacts are not included as usable contact delivery.
QA and Deliver
The final file should be usable, not another file the client has to clean.
The final dataset is reviewed against the original brief before delivery.
Qualification, contact relevance, required fields, formatting, segmentation and verification status are checked so the client receives data in a structure that fits the project.
Delivery can be prepared for spreadsheet use, campaign workflows or CRM import depending on the requirement.
Every dataset goes through more than one check.
Research, qualification, verification and QA are treated as connected parts of the same job. The team does not simply collect records and send them out.
The quality path
Research
- Company fit is checked
Qualification
- Contact relevance is checked
Contact review
- Duplicate records are removed
- Required fields are standardised
Verification
- Email quality is reviewed
- Catch-all records receive additional review
- Not Found contact data is excluded from usable delivery
Final QA
- Final records are checked against the brief
A team based workflow, not a single automated search.
Projects are handled across Prospectal’s own research and verification team. Company research, prospect research, enrichment, verification and final QA can run as connected stages, which allows larger datasets to move quickly without removing the human review required for qualification.
- Tool assisted
- Where tooling genuinely helps, it is used to move volume, not to decide fit.
- Human researched
- Company and contact research is carried out by the team, against the agreed criteria.
- Human qualified
- Whether a company or a contact belongs in the dataset is a judgement, not a filter.
- Human reviewed
- Final QA reads the delivery back against the brief before anything is sent.
Clear status. Clear expectations.
Every record carries the status it earned. Nothing uncertain is quietly promoted into the verified count, because that moves the risk from the file into your sending domain.
Contact information that has passed the verification process and is suitable for standard delivery.
A record that needs caution or additional review before being treated the same as standard verified data.
Usable contact information could not be confirmed. These contacts are not included as usable contact delivery.
Catch-all is not a fourth status
Catch-all domains are reviewed through an additional verification process. Where reviewed catch-all contacts are accepted and delivered, they are kept separate from standard valid data.
What that means in practice
- Standard valid email deliveries typically maintain a bounce rate below 1 percent under normal sending conditions.
- Reviewed catch-all contacts, where accepted and delivered, are typically kept within an expected maximum bounce range of around 2 to 3 percent.
Structured around the way your team will use it.
Depending on the brief, delivery can include the following. Not every project needs every field, and the ones that matter are agreed before research starts rather than discovered at handover.
- Qualified company data
- The accounts that met the agreed criteria, with the company attributes the brief called for.
- Relevant decision makers
- The people whose current responsibilities match the reason for the outreach.
- Business contact information
- The contact fields agreed for the project, each carrying its verification status.
- Verification status
- Verified, Risky or Not Found against every record, so send decisions stay yours.
- Segmentation fields
- The splits the campaign needs, applied consistently across the file.
- Standardised company and role data
- Company names and role data normalised so grouping and matching behave.
- Custom project fields
- Anything specific the brief asked to be researched or carried through.
- CRM or spreadsheet ready format
- Structured for the destination, whether that is a sheet, a campaign tool or an import.
